Draft — review before launch
Privacy policy
Last updated: October 21, 2026
Noteboo is made by Onta Labs Inc. This policy explains, in plain language, what the app and this website do with your information.
The short version
- Audio from your meetings is processed to produce transcripts, nudges and recaps. The AI work is done by US-based providers with zero data retention, enforced on every request.
- On the free plan, your transcripts, recaps, agendas and action items are stored on your Mac only.
- Noteboo Cloud is an opt-in subscription. If you turn it on, those meeting notes are also stored on our servers in the United States, encrypted at rest. You can keep any meeting out of the cloud with its “Don’t sync” switch, and delete all of your cloud data at any time.
- Voiceprints used to tell speakers apart, and any audio or screen recordings, stay on your Mac on every plan. They are never uploaded.
- If you cancel Cloud, your cloud data is deleted 30 days after your paid period ends.
- AI agents you connect get read-only access to your meetings.
What the app processes
When you start the copilot during a call, Noteboo captures audio from your microphone and from the call. That audio is transcribed and, together with your agenda, used to track progress, generate nudges, and write the recap at the end. Agenda text you type or paste, files you drop in, and calendar events you choose are used for the same purpose.
Transcripts and recaps are saved on your Mac. If you enable audio recording, the recording files (your side, their side, and a mix) are also saved on your Mac.
AI providers
To transcribe and reason about your meeting, the app sends audio and text to AI model providers. We only use providers located in the United States that operate with zero data retention, meaning they do not store your content after producing a response. This restriction is enforced on every request the app makes, not just by policy.
If you choose to bring your own OpenRouter key, requests are made with your key and are also subject to OpenRouter’s terms and privacy policy.
Free plan: what stays on your Mac
On the free plan, none of your meeting content is stored by us. These stay on your Mac:
- Transcripts, recaps, agendas, summaries, decisions and action items.
- Voiceprints and the names you (or the conversation) attach to them.
- Audio recordings, if you enable them.
The only meeting content that leaves your Mac is what is sent to the AI providers described above, which do not keep it.
Noteboo Cloud
Noteboo Cloud is a paid subscription you start from the app. Nothing is synced unless you subscribe. When Cloud is on, the app syncs each meeting’s notes to your account so you can search them across your Macs and give AI agents access to them.
What syncs, for each meeting:
- The title, goal and agenda, the start and end times, and the call app it was held in.
- Participant names as they appear in the meeting, and how much each person talked.
- The summary, decisions, action items, open questions, the transcript, and the recap.
What never syncs, on any plan:
- Voiceprints. They are biometric data and never leave your Mac.
- Audio and screen recordings.
Cloud data is stored in a managed database in the United States (Neon, US East region) and is encrypted at rest. You stay in control of it:
- Each meeting has a “Don’t sync” switch that keeps it on your Mac only.
- You can delete a single meeting from the cloud, or use “Delete all cloud data” to delete everything we hold for your account. Deletion removes the data from our servers; it does not touch the copy on your Mac. These work even without an active subscription.
We do not run AI on your cloud data today. If we ever do, it will follow the same rules as the app: US-based providers with zero data retention.
AI agents and MCP
You can let AI agents read your meetings through MCP (Model Context Protocol). On the free plan this is a local server that runs on your Mac and reads the meetings stored there; it makes no network requests. With Cloud, you can connect agents to a hosted MCP endpoint by signing in to them with your Noteboo account, or by creating an agent token. Tokens are shown once, stored only in hashed form, and can be revoked at any time.
Agent access is read-only: agents can search and read your meetings, but cannot change or delete them. When you connect an agent, the content it reads is sent to that agent and its AI provider (for example Anthropic, OpenAI or Cursor) and is handled under their terms and privacy policies, not ours. Only connect agents you trust with your meetings.
Your account and payments
Accounts are handled by Clerk, our sign-in provider. When you create an account we receive the identity information you provide (such as your email address or the profile from a sign-in provider you choose). We use it to sign you in, to attach Noteboo credits and your Cloud subscription to you, and to contact you about your account, your subscription or the beta.
Payments for credits and Cloud are processed by Stripe; we do not see or store card numbers. We keep a record of your purchases, your credit balance and the usage charged against it (provider cost plus 10%), and the status of your Cloud subscription.
This website
This website is hosted on Vercel. Standard server logs (such as IP address, browser type and the pages requested) may be kept for a short time for security and reliability. We do not use advertising trackers.
Sharing
We do not sell your information. We share it only with the service providers named above, to the extent needed to run the product, with agents you choose to connect, or when required by law.
Retention and deletion
Everything stored on your Mac is under your control; delete it from the app or from disk at any time.
Cloud data is kept while your subscription is active, until you delete it. If you cancel Cloud, your cloud data stays readable and deletable until 30 days after the end of your last paid period. After that it is permanently deleted from our servers; we email you a reminder 7 days before. The copy on your Mac is not affected.
To delete your account and the records we hold, email support@noteboo.app and we will remove them, except for records we must keep for tax or legal reasons.
Children
Noteboo is not intended for anyone under 16, and we do not knowingly collect information from children.
Changes
If this policy changes in a meaningful way, we will update the date above and, for significant changes, let you know in the app or by email.
